Management Services

Follow-Up After Move-In

  • Change name on doorbell/ mailbox and notify Condo Association, if necessary
  • Address tenant’s concerns and conditions noted on move-in checklist and 5 day list

On-Going Management Services

  • Complete bookkeeping services
  • Collect rents and deposit as requested
  • Prepare lease renewal and cover letter
  • Follow-up on lease renewal
  • 24 hour emergency on-call service available to tenants
  • Schedule routine maintenance
  • Oversee property improvements (as needed)
  • Contractor selection, coordination, contract preparation and job site supervision for contracted services and routine maintenance
  • Maintain tenant database, including tenant and maintenance issues
  • Serve as contact for Condo Association
  • Serve as emergency contact for tenant
  • Periodic property inspections

Legal Issues (when necessary)

  • Follow-up on NSF checks
  • Prepare Demand for Rent

At Lease End

  • Move-out inspection scheduled and completed with tenant
  • Close out security deposit account
  • Issue security deposit refund statement within 30 days of move-out
  • Coordinate move-out cleaning, if necessary
  • Maintain former tenant database for future reference

Advertising

  • Professional listing advice regarding rental price range

  • MLS Listings, Realtor.com and Craigslist.org, etc.
  • Company marketing and advertising in directories, flyers and with community organizations
  • Pater RE sign at property (if permitted)
  • Referrals through other trade organizations and the Derry/Londonderry Chamber of Commerce

Application Process

  • Scheduling and showing of rental property by our licensed REALTORS®
  • Check applications
  • Verify present and previous employment, confirm income and job security
  • Check present and previous landlord references, inquire about any issues or late payments
  • Background (AmRent) and credit checks (CBC) of prospective tenants
  • Completed application submitted to the owner for selection

Move-In Paperwork

  • Standard lease prepared by our attorney and customized by Pater Real Estate Management Co., Inc.
  • Prepare pet agreement, lease guaranty, lead paint disclosure and other property specific addenda as necessary
  • Collect security deposit (equal to one month’s rent)
  • W-9 Form or escrow deposit form signed by tenant
  • Set up utilities in tenant’s name or confirm that tenant has changed over utilities

Move-In Procedure

  • Conduct move-in walk through and complete property statement
  • Complete inventory checklist, if appropriate
  • Give tenant 5 day checklist (per NH Landlord Tenant Law)
  • Collect a copy of tenant’s rental insurance binder (if applicable)
  • Give tenant keys to the property
  • Collect first month’s rent

Maintenance Services

Pater Real Estate Management Co., Inc.’s skilled maintenance team is ready to provide owners and tenants with skilled and timely service. Through the use of our web-based property management software, our maintenance coordinator is able to track routine and emergency maintenance at individual units and properties. Our in-house maintenance team can handle small plumbing and electrical repairs, painting and cleaning, and carpentry projects.  Pater Real Estate’s maintenance department also manages contractor bids, selection and contracts, job coordination and site supervision for larger projects and renovations as well as routine contracted services.

Bookkeeping Services

Pater Real Estate’s bookkeeping department is dedicated to providing timely, accurate and tax conscious bookkeeping services. Our full range of services includes processing rents, managing owner escrow accounts, managing tenant security deposits, paying property expenses and condo fees, and in some cases, property taxes, mortgage and insurance payments. We maintain copies of all documentation that we receive that are related to the owner’s property. We also provide monthly and yearly financial statements for tax purposes.
